Greater New York Conference of the Seventh-dayAdventistChurch

DATE: May 15, 2007

SUBJECT: Adventurer Camporee (June 1-3, 2007)

In this memorandum you will find info regarding: (1) Campsite Set-up, (2) Check-In Procedure, (3) Parental Permission Slip, Medical Treatment Slip in case there might be an emergency, and First Aid Kit (4) Opening Ceremony of the Camporee (5) Fun Camporee, (6) Master Guides Needed, (7) Security, (8) Milk & Ice, (9) Parking and Site Deposits, (10) Uniforms and shirts to wear during Camporee, (11) Closing Ceremony (12) Parental Involvement. All forms mentioned in this memo and other important ones, can be downloaded on the website: www.gnycyouth.com.

The Adventurer Camporee “It’s Gotta Be Done… Use Your Gifts” will be held at CampBerkshire, in Wingdale, New York. This year we expect somewhere between 1,100 to 1,500 Adventurers, of course, when I mention Adventurers, I am also including Eager Beavers, and Little Lambs. Lots of Master Guides, Staff, and Support Staff will also be present at the event.

It will be a super spiritual, grace oriented, dynamic, happy, and very meaningful event for those in attendance. We are planning a baptism as a main part of the Camporee program. It would be wonderful to have your pastor baptize a group of Adventurers or Adventurers’ Parents at the swimming pool of the camp. Remember that in order to baptize an Adventurer you must have the permission of the parents and the pastor. Plan on it.

1. All Campsites must be set up before the Sabbath. Points will be given for this very important item. We are Seventh-day Adventists; we must give the right example to our kids by having everything ready when Sabbath comes. We have set up a time to pitch tents, beginning on Thursday, May 31 at 4:00 PM.

2. Check-In will open at 2:00 PM on Friday, June 1, only directors are expected at Check-In. Please do not bring the entire club to the Check-In area. Only the clubs which are registered will be able to check in. Make arrangements to complete your registration prior to your arrival at camp, the deadline is already here. There will be no check-in for clubs arriving after 11:00 PM. In other words, if you cannot make it to CampBerkshire before 11:00 PM, come on Sabbath morning.

3. Both, the Parental Permission and the Medical Treatment Slip (included in package) signed by the parents are needed for registration. Adventurers will not be admitted to the camp unless these two forms are properly filled out. Master Guides, Staff, and Support Staff also need to fill out a Medical Treatment Slip. No one will be admitted to the camp, unless we have the proper Medical Treatment Slip. We are asking every Club Director to make copies of all Parental & Medical Treatment Slips of everyone in the club and bring that second set in a separate folder to hand in to the First Aid Office during the Camporee. The Club will keep one set and the other set will be at the First Aid Station for the duration of the event. Your First Aid Kit will also be checked at the First Aid Station during registration.

4. On Friday night we will have a wonderful opening ceremony and a parade of Clubs. We are requesting each club to get four (4) Adventurers in full Class A Uniform ready for the opening ceremony on Friday night; each club must also bring the American Flag, the Adventurer Flag, and the Club Banner for the parade. The four Adventurers with flags and banner must be at the auditorium by 7:30 PM, in order to receive instructions for the parade.

5. This year, the Adventurer Camporee will be a fun Camporee. The activities Team noticed that last year, many of our kids, who participated in the Olympic Events did not have the time to enjoy the pool and other fun activities they wanted to take part in, for this reason they made the decision that it would be a fun Camporee, with lots of activities for our kids to enjoy. Of course, several of these activities will be instructional and they will be able to benefit from them.

6. Master Guides will be a vital part of this Camporee. Though this is not a Master Guide Camporee, we are expecting Greater New York Conference Master Guides and Master Guide Candidates to participate in the Camporee, as well. Master Guides can register with the Adventurer Club of their church. For churches without an Adventurer Club, Master Guides can call the Conference and register directly with us. We will assign a Camping Area, right next to the Coordinators Headquarters for the Master Guides who are coming to the Camporee, without a Club.

The cost for the Camporee is $30.00. The price includes: camp facilities, events, patch, pin, and T-shirt. As always, our shirt will be a colorful shirt with a beautiful and unique design, exclusively created for the Greater New York Adventurers.

7. We are planning to have excellent security on the campsite, at all times during the event. As we continue to grow, security is always an area in which we place strong emphasis. This year, in order to make some improvements, our Security Director for the Camporee, Dale Reynolds has suggested that in addition to all the Security provided in general, each club keeps a person on duty at the entrance of their campsite during the night hours.

8. We are working with Pastor Lloyd Scharffenberg on making sure that we are able to provide the Milk and Ice, it seems that we will be able to do it. I will keep you posted. (Milk & Ice Form Included in Package)

9. At Registration, we will require a deposit of $25.00 for each car in your club, and $25.00 per club for the campsite. These deposits will be refunded during check-out, at the end of the Camporee, as long as the owners of the cars comply with the parking rules and regulations and the campsites are left entirely clean. The parking permit forms will be posted on the website. (Forms included in package)

10. We are requesting that all Adventurers, Uniformed Staff, and Master Guides wear full Class A uniform on Sabbath morning. On Sabbath afternoon, there will be two options: those going on the nature walk can wear Class C Uniform (Camporee Shirt and jeans), the rest will wear Class B uniform (Camporee T-shirt and Adventurer Uniform Bottom). Sunday morning will be the time for Adventurers to wear the Club shirt.

11. On Sunday, we will close the Camporee with a beautiful ceremony, at this time we will award the top three clubs of the Camporee and give each one the Gold, Silver, and Bronze Flags. For this occasion we are asking each Club Director and one Adventurer to dress up in Full Class A Uniform for the closing ceremony and Flag Parade.

12. In closing, please remember that the Adventurer and Eager Beaver Programs place a very strong emphasis on parental involvement. This is a great opportunity at a very low cost for parents and children to spend a weekend together, in company of many other parents and children, in a wonderful natural Christian environment. As the Director of your club, parents need to know that they are expected to come to Camporee with their children, to be a help to the Director, not to interfere with the Director, and most of all to support their children.
